Annual Notices Required by Law
In Ohio, school districts are required by law to provide certain annual notifications to parents and guardians. These notifications ensure that families are informed about their rights, available services, and important policies. Here are some of the key notifications that schools must provide:

In accordance with the Family Educational Rights and Privacy Act (FERPA), the district is providing the following information about the rights of parents and eligible students regarding education records:
- Right to Inspect and Review: Parents and eligible students have the right to inspect and review the student's education records maintained by the Miami Trace Local School District. Requests to access records should be submitted to the school’s main office.
- Right to Request Amendment: If you believe that the education records are inaccurate or misleading, you may request that the record be amended. Please submit a written request to Miami Trace Local School District’s administration. If the request is denied, you will be notified of your right to a hearing.
- Right to Consent to Disclosures: Miami Trace Local School District will not disclose personally identifiable information from education records without prior written consent, except in situations permitted by FERPA, such as disclosures to school officials with legitimate educational interests or as required by law.
- Right to File a Complaint: If you believe the Miami Trace Local School District has violated FERPA regulations, you may file a complaint with the Family Policy Compliance Office at the U.S. Department of Education, Washington, D.C.
- Directory Information: Miami Trace Local School District may release certain directory information (e.g., student’s name, address, telephone number) unless you request that this information be withheld. Miami Trace Local School District has developed an Asbestos Management Plan to address and manage asbestos-containing materials (ACMs) in our facilities. The plan includes details on the location of asbestos, its condition, and the procedures we follow to manage and monitor these materials safely.

Miami Trace Local School District is committed to providing a safe, positive, productive, and nurturing educational environment for all of its students.
Per Miami Trace Board Policy 5517.01, harassment, intimidation, or bullying toward a student, whether by other students, staff, or third parties is strictly prohibited and will not be tolerated. This prohibition includes aggressive behavior, physical, verbal, and psychological abuse, and violence within a dating relationship. The Board will not tolerate any gestures, comments, threats, or actions which cause or threaten to cause bodily harm or personal degradation. This policy applies to all activities in the District, including activities on school property, on a school bus, or while enroute to or from school, and those occurring off school property if the student or employee is at any school-sponsored, school- approved or school-related activity or function, such as field trips or athletic events where students are under the school's control, in a school vehicle, or where an employee is engaged in school business.
Harassment, intimidation, or bullying means:
- any intentional written, verbal, electronic, or physical act that a student or group of students exhibits toward another particular student(s) more than once and the behavior both causes mental or physical harm to the other student(s) and is sufficiently severe, persistent, or pervasive that it creates an intimidating, threatening, or abusive educational environment for the other student(s); or
- violence within a dating relationship.

Miami Trace Local School District is committed to ensuring that all children with disabilities receive the support they need to succeed in school. As part of this commitment, the district wants to inform you about the Child Find process and how it helps identify and support children with disabilities.
What is Child Find?
Child Find is a process mandated by federal and state law to identify, locate, and evaluate children who may have disabilities and need special education and related services. This includes children from birth through age 21, regardless of whether they are currently enrolled in school.
How to Refer a Child
If you suspect that your child may have a disability and could benefit from special education services, you can refer your child for evaluation. You can make a referral by contacting the Miami Trace Local School District at 740-335-3010. The district will need your consent before we can conduct an evaluation.
What Happens Next?
Once the district receives your referral and consent, we will conduct a comprehensive evaluation to determine if your child has a disability and needs special education services. The district is required to complete the evaluation within 60 days of receiving your consent.
Your Rights
As a parent or guardian, you have the right to be involved in all meetings regarding your child’s evaluation and eligibility for special education services. You will also receive information about your rights under the Individuals with Disabilities Education Act (IDEA) and Ohio law.

The Principal will approve up to three (3) religious expression days per school year after
receiving a written request from the student's parent or guardian. Religious expression
days may be used to take holidays for reasons of faith or religious or spiritual belief
system or participate in organized activities conducted under the auspices of a religious
denomination, church, or other religious or spiritual organization. Students who are
absent on approved religious expression days will not face any academic penalties and
will be provided with academic accommodations with regard to examinations and other
academic requirements that are missed.To receive accommodations for religious expression days, parents or guardians must
submit written requests to the Principal within fourteen (14) days after the start of the
school year or fourteen (14) days after a student is enrolled in the District. The
requests must specify the religious expression day(s) to be approved. The Principal will
approve the days without inquiring into the sincerity of a student's religious or spiritual
belief system. However, the Principal may verify the authenticity of a request by
contacting the parent or guardian to confirm they signed it. The Principal may deny the
request for religious expression days if the parent or guardian indicates that the
signature is not authentic. Once the days have been approved, the Principal will ensure
that each teacher schedules a time and date for alternative examinations or other
academic requirements that conflict with the student's absence. Students may
participate in interscholastic athletics or other extracurricular activities on days in which
the student is absent for religious expression.The District has adopted the following procedure for a student, parent, or guardian to
notify the District of any grievance with regard to the implementation of this policy. A
grievance must be submitted in writing to the Superintendent. The Superintendent will
review the grievance and issue a written determination of whether the policy has been
violated. The decision of the Superintendent is final and not subject to further appeal.A non-exhaustive list of major religious holidays, festivals, and religious observations as
published by the State Superintendent for which an absence will not be unreasonably

This list may not be used to deny accommodations to a student for a holiday, festival,
or observation that is not included in the list. Nothing in this policy, and no inclusion or
exclusion of a religious holiday or festival on the list posted by a District, shall preclude
a student from full and reasonable accommodations for any sincerely held religious
beliefs and practices with regard to all examinations or other academic requirements
and absences for reasons of faith or religious or spiritual belief system. -

Emergency Preparedness and Response
- The district has developed a Crisis Resource Index that includes procedures for various emergencies, such as fires, natural disasters, and security threats.
- Regular drills and training sessions are conducted to ensure that staff and students are prepared to respond effectively to emergencies.
School Safety and Security
- Our safety policies include measures to address bullying, violence, and substance abuse, as well as procedures for managing visitors and securing our facilities.
- Security measures such as controlled access to buildings and surveillance cameras are in place to protect our school environment.
Crisis Management
- A designated crisis management team is responsible for coordinating responses to critical incidents and ensuring effective communication with emergency responders and the community.
- Mental health support and counseling services are available for students and staff, particularly after a crisis.
Safe School Climate
- We implement Positive Behavioral Interventions and Supports (PBIS) to promote a positive school climate and address behavioral issues proactively.
- Student safety committees may be established to involve students in safety planning and promote a culture of respect.

Reporting and Documentation
- Procedures are in place for reporting and documenting incidents of violence, threats, or other safety concerns. We maintain records of incidents and actions taken.
- Our safety policies are regularly reviewed and updated to ensure compliance with state and federal regulations.
